Volunteers are an important part of the educational program at San Jose Catholic School. Parents/guardians and family members are encouraged to volunteer for special classroom projects, room parent duties, cafeteria helpers, library/book fairs, field trips, Friday Folders, Campus Beautification and the many fundraising events our Home & School Association coordinates every year.

To be a volunteer: According to the Office of Youth Protection at the U.S. Conference of Catholic Bishops, any time a parent or other volunteer works, or volunteers, in any capacity in connection with the church, parish or school —no matter how infrequently this occurs—safe environment training is essential, in addition to undergoing a background check. Thus, the parent who serves only once during the year must complete the full SJCS Volunteer Screening process. Until the SJCS Volunteer Screening process has been completed that parent must not be allowed to volunteer at the school, with our children.

Volunteer Hours at San Jose Catholic School

Each family with children in grades K thru 8 will be required to complete a minimum of 20 hours of service to San Jose Catholic School during the school year. Hours must be completed by the end of the school year. Voluntary participation beyond the 20 hours is greatly appreciated.

  • Five (5) hours MUST be filled at a Home & School function such as Bingo Night, Catholic Schools Week, Vision Screening, Junior High Dance, Used Uniform Sale, Campus Beautification, Father/Daughter Dance, etc. Please review the Home & School Calendar for more functions and event opportunities.
  • Five (5) hour MUST be filled at the Fall Festival, Golf Tournament or Spring Fling.
  • Ten (10) hours may be filled helping a teacher or faculty member (as needed). For example, assisting
  • Homeroom Parents with classroom parties/activities/events, sports programs, school play, etc.

Please note:
Chaperoning a field trip, regardless of the actual number of hours spent on the field trip, will only count for a total of 4 hours, one time per year. The volunteer must be appointed as a chaperon by the teacher. Any hours attending the field trip without chaperon duties will not be counted as volunteer hours. Anything specific to a specific child or family does not count toward service hours. For example, sending in cupcakes for a child’s birthday does not count toward volunteer hours. But, sending a class treat (requested by a child’s Teacher or Home Room Parent) would count for one (1) volunteer hour. Gift cards of $20 or more may count towards one hour with a maximum of 10 hours allowed per year. Parents, guardians and family members have many opportunities to volunteer. If the activity contributes toward the betterment of the school as a whole (or a class), it counts toward the required volunteer hours. If in doubt, please ask.


Volunteer Terms & Definitions

SJCS Volunteer Screening is the process followed by the Diocese of St. Augustine and San Jose Catholic School whereby volunteers are required to complete a criminal background check, which includes fingerprinting and Protecting God’s Children education. Volunteers who have passed the SJCS Volunteer Screening are permitted to interact with students.

Live Scan Fingerprinting is the method used by law enforcement agencies and private facilities to scan, process and file fingerprints and palm prints electronically.

Protecting God’s Children Class is a three hour live awareness session instructing our volunteers that to protect children we must have continuous awareness and vigilance. This awareness session makes teaches future volunteers to understand the signs of child abuse, the methods and means by which offenders commit abuse, and five steps one can use to prevent it.

Sign Up Genius is a FREE (and simple) online web site/tool for creating and managing SJCS volunteer sign-up lists. SJCS volunteers will receive an email invitation every time there is a volunteer opportunity posted.

SJCS Volunteer 5 Step Process

All volunteers who work with our children or at the school during school hours are required to pass the SJCS Volunteer Screening for which instructions are provided in the first three steps below. The entire volunteer process consists of 5 steps:

Step 1. Background check – A background check form needs to be filled out and submitted to the school office. The Diocese of St. Augustine Criminal Background Check form is available at the school office and on Rediker, under the volunteer tab.

Step 2. Fingerprinting through Live Scan – Please go online to schedule your fingerprinting through Live Scan at one of the school authorized website locations. San Jose Catholic School will only accept fingerprinting performed at its authorized website locations.

The Live Scan Instructions and website location sheet is available at the school office and on Rediker, under the volunteer tab.

While the fingerprinting and background check do not have to be accomplished in a particular order, they must be completed around the same time. If both steps are not completed in a timely manner, the Diocese will purge unmatched records within 6 months. Once your fingerprint and criminal background check are complete, the Diocese will send the school’s front office your completed background check form with authorization to volunteer with our children. This information will be kept on file at the school office. The fingerprint and criminal background check must be repeated every 5 years.

Step 3. Protecting God’s Children class – Please go to www.virtusonline.org to find a list of classes in your area you may attend.

You will be shown a list of all upcoming classes for our Diocese. Once you have found a class that you wish to attend, you will need to complete your registration for that class. You may attend any of the classes listed; you are not limited to attending classes at your parish.

Once you have attended the class, you will receive a Certificate of Completion. You MUST turn your certificate into the front office where it will be kept on file.

Step 4. Finding Volunteer Opportunities

Teachers, Home Room Parents and our Home & School Association will keep families informed of all activities requiring volunteers. Classroom volunteer opportunities will normally be sent via email and/or sent in our Friday Folder. Home & School volunteer opportunities will be emailed to families using Sign Up Genius www.signupgenius.com. The Sign Up Genius website provides a quick and simple on-line tool for families to view and sign-up for volunteer opportunities.

If you are not receiving invitations from San Jose Catholic School, Home & School Association from Sign Up Genius, you can add your email address by filling in the form found on Rediker, under the volunteer tab.

Step 5. Volunteering and tracking your hours

Each SJCS family will be responsible for tracking their own family volunteer hours. Please submit your volunteer hours EACH time you volunteer by logging into your RenWeb parent account and adding volunteer hours under the Family Information > Service Hours. Please be sure to enter your volunteer hours as soon as possible – preferably as you serve them. Unmet volunteer hour fees will be billed by the school office at the end of the school year.

How do I submit volunteer hours?

Who Can Volunteer?

Parents, guardians, grandparents and other adult family members may contribute towards your SJCS volunteer hours - as long as they have fulfilled the SJCS Volunteer Screening Process. Eighth grade and high school student volunteer hours (ages 5 – 18) will NOT count towards your SJCS family volunteer hours.

More than one family member may volunteer at the same event. The total hours will count toward your family's volunteer hours. If in doubt, please ask.


What happens if you don't fulfill the required hours?

Families are assessed $20 per hour for incomplete hours. All volunteer hours must be fulfilled or fees paid, to receive a report card, participate in graduation programs, or to have permanent records transferred to another school.


Can we opt-out of service hours?

Yes. Parents may opt out of volunteering throughout the school year by paying a fee of $400.
